SmartDocAI — Privacy Policy & Data Deletion
SmartDocAI (“the App”) is developed by Mathew Malyil (“we”, “us”). This page explains what we collect, how we use it, and how you can request deletion.
- You control your files. Documents and OCR images stay on your device unless you share/export them.
- AI requests are sent over HTTPS to our backend only to generate the response you asked for.
- No selling of data. We do not share with advertisers.
Information We Collect
- User-provided documents & images: files you open (DOCX, XLSX, PPTX, PDF) or images you scan/pick for OCR.
- Basic app data (on device): preferences and usage counters stored in Android
SharedPreferences. - Network data: when you request AI analysis, text you submit is transmitted securely to our API solely to return a result. Standard server logs may include IP address, timestamp, and user-agent for reliability and abuse prevention.
We do not collect contacts, precise location, financial, or health data. We do not sell personal data.
How We Use Data
- Process and analyze your documents with AI (summaries, OCR, Q&A).
- Operate, secure, and improve the App (diagnostics, rate limiting, abuse prevention).
Where Processing Happens
- On-device: file selection, display, optional local saves/exports.
- Server: requests are sent over HTTPS to our API (e.g.,
smartdoc-ai-backend.vercel.app) strictly to fulfill your query.
Third-Party Processors
To return AI results, we may relay the text you submit to:
- OpenAI (e.g., GPT-4o)
- Groq (e.g., LLaMA models)
They process the data only to provide the response you requested. We do not share data with advertisers or unrelated third parties.
Storage & Retention
- Your documents stay on your device unless you choose to share/export.
- Server-side: we do not permanently store your documents. Transient processing and short-lived logs may exist to operate the service and protect against abuse; non-essential logs are rotated on a rolling basis.
Security
We use HTTPS for data in transit and follow platform best practices. No method is 100% secure; please avoid uploading highly sensitive data.
Children
The App is not directed to children under 13.
Your Choices
- Clear local data: in the App, go to Settings → Clear Data to remove locally stored content and preferences.
- Uninstall: removing the App deletes its local data.
- Export/share: you decide if/when to export or share any content.
Data Deletion (Server-Side)
We do not permanently store your documents on our servers. Temporary processing and short-lived logs may exist. You may request deletion of server-side identifiers/logs reasonably associated with your usage:
- Email malyilmathew@gmail.com with subject: “Delete my data — SmartDocAI”.
- Include your country/region, device model, and approximate dates/times of use.
- We will acknowledge within 7 days and complete deletion within 30 days, unless retention is required by law.
Changes to This Policy
We may update this page as our practices evolve. Changes will be posted here with a new effective date.
